Scilymiad (“Company”) owns and operates the websites scilympiad.com and its extensions, statescioly.org and its extensions and askzoom.org. These mentioned websites are collectively known as the “Site.” Visitors and users of Site are referred to individually as “User” and collectively as “Users.” Sites subscribers are collectively referred to as “Subscribers.” Positions within the Science Olympiad organizations are referred to as “Roles.” By browsing, accessing, registering, and/or using Site, you agree to be bound by Campany's Terms of Use (“Terms”), including this Privacy Policy and any additional guidelines. General usage data refers to as non-personal identifiable usage data. General information refers to as non-personal identifiable information.

Scilympiad Guiding Principles: no targeted advertisements to students and Users; no selling of personal information to third parties; and collect and use personal data deemed as necessary and required within the framework of participating in Science Olympiad tournaments.

This Privacy Policy explains how your information is collected, used, and retained when Users browse, access, register and use Site.

Company reserves the right to change, modify, add or remove portions of this Privacy Policy at any time and at our discretion. Your notification of changes is indicated by the last updated date on the Privacy Policy. Please periodically visit this section of Site to review the current version of the Privacy Policy.

What Information Do We Collect and How Do We Collect It?
Student Accounts

Site does not directly collect or sign up students for accounts, including students under 13 years of age. Head coaches authorize students’ access by submitting their student information into Site: name, grade and school. Site generates student Login IDs which head coaches are required to provide to students in order for students to gain access and use Site. Unless head coaches provide system-generated Login IDs to students, students will not have access to Site and student-specific functions. Only after head coaches provide their student Login IDs would the students be able to create their own password and log in. Another safeguard to ensure only authorized students can access Site is that Student Login ID, student first and last name match exactly as entered by head coaches before students gain access to Site.

The same student information provided by head coaches of student name, school and grade are used for verification of the National Science Olympiad Team Qualification Policy.

Pursuant to the Company’s Terms of Use, the school and head coach assume sole responsibility (and hereby agree that Company is not responsible) for obtaining any consents required from parents or guardians in connection with students using Site and disclosure of personally identifiable information to Company and Subscribers. The school and head coach represent and warrant to Company that they have either obtained all necessary parent or guardian consents or have complied with all applicable requirements of an exemption from or exception to parental consent requirements prior to inputting their student information into Site.

Non-Student Accounts

Company collects name, school, mailing address, telephone number(s), email address(s) and data based on applicable Roles. Information is collected through account registration or when Users intentionally send it to Company.

Third-Party Collection and Sharing

Some Subscribers may choose to use external websites/third-parties to collect and share additional personal information including information on students under 13 years old. Company is not responsible for the collection and sharing of such personal data or information including students under 13 years old collected by Subscribers.

Automatic Data Collection

When Users browse, access and/or use Site, we automatically collect general (non-personal) data from your computer or mobile device such as your browser type, operating system, IP address and the domain name from which you accessed Site, and if you are accessing our Site with your mobile device, type of mobile device. In addition, we collect data about how you use our websites, such as the date and time you visit Site, the areas or pages of Site that you visit and the amount of time you spend viewing Site.

Why and How Do We Use Your Information?

Certain functions are driven by Roles and Company collect and process your personal information with your consent to confirm and verify your identity and Roles before allowing you access to restricted role-based Site and webpages.

We may use your personal data such as name and Login IDs in order to appropriately provide technical assistance, troubleshoot and technical analysis.

We use general usage data for statistical data and system analysis. General information collected and analyzed for statistical data analysis may be shared with the National Science Olympiad, other Science Olympiad organizations and Company’s volunteers and associates for purposes of meeting, achieving and enhancing their primary goals and objectives. Company does not share general usage data with third-party vendors.

Sharing Your Personal Information

Company does not share or sell your personal information to third parties. Company collects personal information and share with Subscribers for the intended purposes of running its tournaments. Subscribers own their Site content and data and are responsible for the information collected on their Sites.

We do, however, share your personal information within the Company and Company volunteers and associates for technical support and data statistical analysis purposes. We may also share your personal data with National Science Olympiad and other Science Olympiad organizations as requested for compliance and validation purposes. We may share your data as required by law or in the interest of protecting or exercising our or others' legal rights, e.g., without limitation, in connection with requests from law enforcement officials and in connection with court proceedings.

Release of Score Report

Public release of score report and team results are subject to the Subscribers’ discretionary authority. Company does not automatically release such data.

Where We Store and Process Data

We store and process data in the United States and our servers are hosted at GoDaddy.

Security

Transmissions over the internet are never 100% secure. However, we take reasonable steps to protect your data from loss, misuse, and unauthorized access, disclosure, alteration, and destruction. It is your responsibility to safeguard your passwords and User IDs. If you have reason to believe that your account has been compromised, immediately notify head coach, school and Company at support@scilympiad.com. You are solely responsible for any unauthorized uses via your password and User ID.

Do Not Track notifications

Some browsers allow you to automatically notify websites you visit not to track you using a “Do Not Track” signal. There is no consistent standard as to what “Do Not Track” means as it relates to what actions should be taken by websites. We currently do not respond to “Do Not Track” signal from web browsers.

Retention

We retain personal data while your account is active, or as needed to provide you access to your role-based functions. We will delete data within a reasonable time after the data is no longer necessary for the purposes for which it was collected. We will, however, retain and use personal data as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.

Student accounts and student personal information will be deleted prior to the start of the following Science Olympiad season by the Subscribers and/or Company or sooner if requested by parents/guardians, schools, head coaches or Subscribers.
